Document management
One governed home for contracts, records and files, with versions, search and access rules built in.
Shared drives fill up with copies named final, final-2 and final-signed. We build document systems where each file has one current version, the right metadata and a clear owner, where scanned papers become searchable text, and where retention rules decide what is kept, archived or deleted.
What we build
- Folder and metadata structures that mirror your departments, clients or cases
- Version control with check-in, check-out, comments and full change history
- OCR for scanned documents so every page becomes searchable text
- Automatic filing that reads document type and key fields from incoming files
- Retention schedules, legal holds and recorded disposal of expired records
- Secure external sharing with expiring links, watermarks and download limits

What it does well
Single version
Everyone opens the current version, and older versions remain one click away.
Full-text search
Search inside PDFs, Office files and scanned pages, filtered by any metadata field.
Fine-grained access
Permissions follow department, role and document type, with every view logged.
Automatic filing
Incoming invoices, contracts and forms are recognised and filed with their key fields.
Retention rules
Records are kept for the period you set, then archived or disposed of with a record.
Office integration
Files open and save from Microsoft 365 or Google Workspace without manual uploads.
Questions
Can you digitise our paper archive?
We set up the scanning workflow, OCR and indexing, and define which metadata to capture for each document type. Your team or a scanning bureau does the physical scanning, and the system checks each batch for missing pages and unreadable text.
Is this better than SharePoint or Google Drive?
For general file sharing, those tools are often enough, and we can build on SharePoint if you already use Microsoft 365. A dedicated system makes sense when you need strict retention, regulated audit trails, case-based filing or automated capture at volume.
How do you keep sensitive documents safe?
Files are encrypted at rest and in transit, access is granted by role and document type, and every view, download and share is logged. Sensitive folders can require extra approval, and external links expire automatically.
