Procurement and supply chain
Purchasing from request to payment, with supplier quotes, approvals and three-way matching in one flow.
Purchasing goes wrong in the gaps: an order raised without budget, goods received but never recorded, an invoice paid twice. We build procurement systems that carry each request through quotes, approval, purchase order, delivery and invoice match, with suppliers working in the same portal.
What we build
- Purchase requisitions with budget checks against cost centres and projects
- Requests for quotation sent to shortlisted suppliers, compared side by side
- Purchase orders with approval limits by amount, category and department
- Supplier portal for quotes, order acknowledgements, delivery notes and invoices
- Goods receipt and three-way matching of order, receipt and supplier invoice
- Supplier scorecards on delivery time, quality rejections and price changes

What it does well
Budget control
Requests that would exceed a budget are flagged or routed for extra approval before ordering.
Quote comparison
Supplier prices, lead times and terms appear side by side for each requested item.
Approval matrix
Limits by amount, category and site decide who must approve each purchase order.
Three-way match
Invoices are paid only when they agree with the order and the goods actually received.
Supplier portal
Suppliers update order status and upload documents instead of sending email threads.
Spend analysis
Spending by supplier, category and site shows where volumes can be consolidated.
Questions
Can suppliers use the system without training?
The supplier portal is kept to a few screens: see the request, submit a quote, confirm the order, upload the invoice. Suppliers receive an email link for each action, so occasional suppliers can respond without a full account.
How is this different from the purchase module in our ERP?
Many ERPs record purchase orders well but handle the steps before them poorly. We either extend your ERP or build a procurement layer in front of it that manages requests, quotes and approvals, then posts the final order and invoice into the ERP.
Can it handle contracts and rate agreements?
Yes. Agreed prices, validity dates and volume tiers are stored per supplier, so orders pick up the contracted rate automatically and anything outside the agreement is highlighted for a buyer to review.
